Adding bills to Tola is a straightforward process that provides convenience and efficiency for managing your accounts payable process.

Manually adding bill details

  1. Log in to your Tola account.

  2. Navigate to the "Pay" section of the product.

  3. Click on the "+" button on the top right or Add bill in the middle of the screen.

  4. Fill in the required information, such as the vendor name, invoice number, due date, and amount.

  5. Optionally, provide additional details such as the bill description or applicable notes.

  6. Save the bill to complete the manual entry process.

Uploading a bill PDF

  1. Log in to your Tola account.

  2. Navigate to the "Pay" section of the product.

  3. Click on the "+" button to begin the manual entry process.

  4. Click the left side of the screen to upload your attachment or drag in an invoice from your vendor, suppliers or contractor.

  5. Tola will automatically extract relevant data from the PDF, such as vendor details, invoice number, due date, and the total amount.

  6. Review the extracted information to ensure accuracy and make any necessary adjustments.

  7. Save the bill to complete the manual entry process.

Forwarding an e-mail to Tola

  1. Find the unique email address assigned to your Tola account for bill forwarding under Settings -> Email forwarding.

  2. Forward any of your bills to the email address. Once you forward the emails, you will receive an email confirmation, whether the bills were added or failed to be added to Tola.

  3. Your forwarded bills will appear under Drafts.

  4. Review the extracted details, make any required adjustments, and save the bill within Tola.

Live-Sync with QuickBooks/Xero

  1. Enable QuickBooks/Xero integration in Settings - Accounting.

  2. Once integration is enabled, you will be able to see all your bills from Xero in Tola automatically, synced accordingly with the bill status.

  3. You will be able to make changes and pay bills in Tola, which will automatically reflect in Xero/Quickbooks and vice-versa.
